Malmö Högskola (Malmö University) is comprised of 24,000 enrolled students and 1,400 employees. With this dense population, an efficient room manager was almost necessary in order to execute productive and spontaneous meetings. We asked Karin Björkenrud, the IT Project Manager at Malmö Högskola, to share her experience with Meetio.
What challenges did you face before using Meetio’s products and services?
“Since we are a University, we have a booking system that’s different. We had internal struggles with our booking system. We were unable to create a meeting and book a room at the same time. People found that system inconvenient. As a trial, we put some rooms on calendar management system supported by Meetio and found it efficient. With the Meetio scheduling system, we could easily create a meeting and book a room at the same time.”
What was your buying criteria – the critical capabilities/features were you looking for?
“We wanted a simple display that was easy to look at and understand. I love how the colors in Meetio’s display immediately lets you know the room’s availability right away. ”
Why did you choose Meetio over competitive alternatives?
“We liked that the meeting room tablets were Android because it’s more flexible if you want to do something different. We liked the design option and we saw that the room manager had great potential. Also, the Meetio team really wanted to develop it further. The Meetio team really listened. It is also the reason we continued to stayed with Meetio.”
How do you use Meetio to optimize meetings and minimize meeting room conflicts?
“We have it set up where we can see the meeting title and the person responsible for booking the room. There is less confusion because of this factor. You can contact the person who booked the room if there’s ever an issue.”
What are other ways you do use Meetio in the workplace?
“We have rooms people can book to solely make phone calls. This creates privacy in a public setting.”
What has been the best thing about working with the Meetio?
“It’s easy to get in contact with the Meetio team. They always respond quickly and they provide feedback right away. They listen to you.”

“It’s been really easy connecting and using Meetio. I love the web interface. It’s constantly being upgraded. I would recommend it.”
